When you need to mail documents

Responding to requests
Someone asked for documents—an insurance company, government agency, employer, school. You gathered everything, now you need to send it.

Supporting a form or application
The main form is one page, but you need to include proof of income, ID copies, receipts, or other supporting materials.

Sending records or statements
Medical records, financial statements, legal documents. Situations where paper copies are required or preferred.

Legal or compliance submissions
Court filings, regulatory responses, compliance documentation. When the deadline and delivery method matter.

Organizing your documents

Before uploading, combine your documents into a single PDF in the order you want them to appear.

Suggested organization:

  1. Cover letter or transmittal sheet — Summarizes what's included and provides your contact info
  2. Primary document — The main form, letter, or request
  3. Supporting documents — Proof, attachments, exhibits
  4. Additional pages — Anything else referenced

The first page of your PDF is the first page of the printed packet. Make sure the order is intentional.

Creating a combined PDF

On Mac:

  1. Open the first document in Preview
  2. View → Thumbnails
  3. Drag additional PDFs into the thumbnail sidebar
  4. Arrange pages in order
  5. File → Export as PDF

On Windows:

  1. Open all documents
  2. Print → Microsoft Print to PDF
  3. Repeat for each document
  4. Use a free tool like PDFsam to merge

Online tools:
SmallPDF, ILovePDF, and Adobe Acrobat web tools can merge PDFs. Upload your files, combine, download the merged result.

From your phone:
Most scanning apps (like the iPhone Notes scanner or Google Drive) let you scan multiple pages into one PDF.

Document packet checklist

Before uploading:

  • All pages are included
  • Pages are in the correct order
  • Text is readable (not too light, not blurry)
  • Signatures appear where required
  • No duplicate pages
  • Combined into one PDF file
