Use this page for multi-page document packets, exhibits, records, and attachments that need to stay together. If you only have one finished PDF, Mail a PDF online is the direct upload path.
Which document-mailing path should you use?
| Need | Best PostalForm path | Why |
|---|---|---|
| Mail a finished PDF packet | Mail documents online | Best for multiple pages, exhibits, records, or supporting documents that must stay together. |
| Mail one finished PDF | Mail a PDF online | Fastest path when the file is already ready and the main query is PDF upload-to-mail. |
| Print and mail a PDF with option guidance | Print and mail a PDF | More detail on color, duplex, margins, page order, and PDF setup. |
| Fill and mail a guided form | Forms | Better when PostalForm has a workflow that generates the final form packet for you. |
| Write a letter first | Send a letter online | Use this when you still need to draft the letter before mailing it. |
What makes document packets harder than ordinary letters
The risk is usually not just the postage. It is whether the packet is complete, readable, in the right order, and sent to the right place. PostalForm is designed for that practical review step: combine the documents into one PDF, preview the printable packet, confirm sender and recipient addresses, choose print and mailing options, and see the price before checkout.
Use Certified Mail when delivery evidence matters. Use Express when timing matters more than cost. Use First Class when the document packet is routine and the recipient does not require proof.
This page is for physical postal mail, not email attachment delivery or portal upload. If the recipient accepts email, that may be faster. If the recipient requires mailed paper, this is the upload-to-mail path.
When you need to mail documents
Responding to requests
Someone asked for documentsโan insurance company, government agency, employer, school. You gathered everything, now you need to send it.
Supporting a form or application
The main form is one page, but you need to include proof of income, ID copies, receipts, or other supporting materials.
Sending records or statements
Medical records, financial statements, legal documents. Situations where paper copies are required or preferred.
Legal or compliance submissions
Court filings, regulatory responses, compliance documentation. When the deadline and delivery method matter.
Organizing your documents
Before uploading, combine your documents into a single PDF in the order you want them to appear.
Suggested organization:
- Cover letter or transmittal sheet โ Summarizes what's included and provides your contact info
- Primary document โ The main form, letter, or request
- Supporting documents โ Proof, attachments, exhibits
- Additional pages โ Anything else referenced
The first page of your PDF is the first page of the printed packet. Make sure the order is intentional.
What counts as a document packet?
| Packet type | Common contents | Mailing note |
|---|---|---|
| Agency response | Cover letter, completed form, ID copy, requested proof | Use the mailing address and deadline from the agency notice. |
| Insurance or benefits packet | Claim form, receipts, statements, medical records, appeal letter | Put the main form or letter first, then supporting documents. |
| Legal or dispute packet | Demand letter, invoice, timeline, photos, correspondence | Consider Certified Mail when proof of mailing or delivery matters. |
| School or employer packet | Transcript request, signed form, supporting records | Confirm whether copies are accepted or originals are required. |
| Business packet | Invoice, statement, contract, notice, account records | Use a cover letter when the packet needs context. |

FAQs
- Can I mail documents online without a printer?
- Yes. Upload a PDF packet, review the print preview and price, enter the addresses, and PostalForm prints and mails the documents for you.
- What is the best way to mail documents online?
- The cleanest path is to combine everything into one PDF in the order you want it printed, use a cover letter when the packet needs context, preview every page, and choose the mailing option that matches the recipient's deadline and proof requirements.
- Is this email delivery?
- No. This is physical postal mail. PostalForm prints the uploaded documents and mails the paper packet.
- Can I upload several documents at once?
- For the cleanest packet, combine the pages into one PDF before upload. That keeps the documents together and preserves page order.
- Do you staple or bind the documents?
- No. Pages are loose in the envelope. Staples can damage postal sorting equipment.
- Can I include a cover letter?
- Yes. Add it as the first page of your PDF.
- What envelope size do you use?
- We use appropriately sized envelopes based on page count. Standard letters fit in #10 envelopes. Larger packets go in flat mailers.
- Can Express require a signature on delivery?
- Yes. Choose Express and select signature required at checkout when the recipient or process requires it.
- What if one page needs to be color?
- If you select color printing, all pages print in color. If you select B&W, color pages print in grayscale. We can't mix color and B&W in one mailing.
- Can PostalForm mail original documents?
- No. PostalForm prints and mails uploaded files. If a recipient requires a physical original, mail that original yourself or use a courier.
