Tenant letters
Landlord repair request letter template
A landlord repair request letter gives the owner or property manager a dated written description of what needs attention, where the problem is, when it began, and when you are asking for a response. PostalForm's Landlord Repair Request Packet turns those facts into a signed letter, appends optional evidence, and lets you review the complete PDF before mailing it.

Quick answer
A useful repair request identifies the rental property, describes each condition factually, states when the problem began, records any earlier notice, proposes practical repair and response dates, and explains how the landlord can arrange access. Attach copies of relevant photos, prior requests, inspection records, or estimates, and keep the originals.
Use the notice address in the lease or the recipient's current designated address. Certified Mail can create a USPS mailing and delivery record, but it does not prove the condition existed or determine the recipient's legal duties.
What to include
- Tenant name and return address
- Rental property address and unit
- Landlord, owner, or property manager notice address
- A separate factual description of each problem and its location
- The date each problem began or was first observed
- Dates and methods of earlier repair requests
- Requested repair and written-response dates
- Safe access or scheduling instructions
- Signature and date
- Copies of supporting evidence, when useful
Avoid overstating facts you cannot verify. For example, describe visible water, an odor, a nonworking fixture, temperature readings, or a reported leak rather than declaring a medical diagnosis or code violation.

How the guided packet works
The workflow asks for the tenant and recipient addresses, property details, repair facts, dates, prior notice, access instructions, and signature. You can then attach photos, inspection records, prior correspondence, relevant lease pages, estimates, or receipts. PostalForm generates the letter, appends the uploaded copies, and shows the final packet before checkout.
The workflow is for one tenant request and one landlord or property-manager recipient. It does not inspect the property, select a legal recipient, submit a code complaint, or authorize rent withholding, repair-and-deduct, lease termination, or another legal remedy.
Before mailing
- Re-read the lease's notice and maintenance sections.
- Verify the recipient name and designated notice address.
- Give each condition a location, observable description, and date.
- Choose practical dates; do not assume this template calculates a statutory deadline.
- Send copies, not irreplaceable originals.
- Review the generated PDF and attachment order.
- Save the final packet and mailing record with later responses.
Certified Mail or First-Class Mail?
First-Class Mail may be appropriate for an ordinary request when no special delivery method is required. Certified Mail adds a mailing record and electronic delivery or attempted-delivery information; Return Receipt may add signature evidence when available. Check the lease and applicable rules because a particular method or additional notice recipient may be required.
Common mistakes
- Sending only a text message when the lease calls for written notice to a particular address
- Listing “everything is broken” without identifying each condition and location
- Omitting dates, prior notice, or scheduling details
- Stating an unsupported diagnosis, code violation, or legal conclusion
- Threatening a remedy before confirming the lease and applicable law
- Sending original photos, receipts, reports, or lease documents
- Assuming delivery means the recipient agreed with every statement

FAQs
- Can I use this for an emergency repair?
- You can document an emergency condition in writing, but do not wait for postal delivery when people or property are in immediate danger. Use the appropriate emergency, utility, landlord, or local inspection channel as well.
- Can I attach photos and earlier maintenance requests?
- Yes. The guided packet can append copies of photos, inspection records, prior requests, emails, estimates, receipts, and relevant lease pages.
- Does this letter let me stop paying rent?
- No. Rent withholding, repair-and-deduct, lease termination, and similar remedies have jurisdiction-specific requirements and risks. Get current local guidance before taking one of those steps.
- Should I give the landlord a deadline?
- A clear requested response and repair date makes the request easier to act on. Choose practical dates, and do not treat the template as a calculation of any legally required period.
- Where should I mail the request?
- Use the address designated for notices in the lease or current written instructions. That may differ from a rent-payment address or the property's street address.
