Use case

Send a letter without a printer

No printer? No problem. If you have a PDF (or can create one), PostalForm prints your letter, prepares the envelope and postage, and hands it to the appropriate carrier or mailing provider.

The no-printer situation

You need to mail a letter but:

  • You don't own a printer
  • Your printer is out of ink or broken
  • You're traveling or working remotely
  • You're at home but don't have supplies
  • You just don't want to deal with it

Any of these? Upload a PDF and we handle the physical part.

Creating a PDF without a printer

From a digital document:
If your letter is in Word, Google Docs, Pages, or any text editor:

  • File → Export/Save As → PDF
  • File → Download → PDF
  • File → Print → Save as PDF

From a paper document:
If you have a physical letter or form you need to mail:

iPhone:

  1. Open Notes app
  2. Tap the camera icon → Scan Documents
  3. Capture each page
  4. Save → Share → Save to Files as PDF

Android:

  1. Open Google Drive app
  2. Tap + → Scan
  3. Capture pages
  4. Save as PDF

Any smartphone:

  • Adobe Scan app (free)
  • Microsoft Lens app (free)
  • CamScanner app

The result is a PDF file you can upload directly to PostalForm.

Tips for scanning with your phone

Lighting matters — Natural light or bright indoor lighting. Avoid shadows across the page.

Keep it flat — Place the document on a flat surface. Hold your phone parallel to the paper.

Include margins — Make sure the entire page is visible with some margin around it.

Check readability — Before saving, zoom in and make sure text is sharp, not blurry.

Combine pages — For multi-page documents, scan all pages into one PDF before uploading.

What you need

  • A PDF file (created or scanned)
  • The recipient's mailing address
  • A sender/return address
  • A few minutes

That's it. No printer, paper, envelopes, stamps, or trip to the post office.

Delivery options

First Class (3–7 business days) — Standard for most letters

Express (1–3 business days) — For time-sensitive mail

Certified Mail — Adds tracking and signature confirmation, available with First Class. Learn about Certified Mail

When this works well

  • Traveling — Mail from your hotel or anywhere with internet
  • After hours — No need to find an open store or post office
  • Time-sensitive — Upload, checkout, done. No errands.
  • Regular correspondence — Easier than maintaining printer supplies

When you might still need a printer

  • You need to include physical items (checks, photos, etc.)
  • The recipient requires an original ink signature (rare, but some do)
  • You're mailing something you can't convert to PDF

For most letters, forms, and documents, a PDF works fine.

Postage is included. You see the total before checkout.
